Accounts Receivable Clerk Shaw-Almex Industries Ltd - Parry Sound, ON Description PURPOSE The main purpose of this position is to calculate, prepare and process invoices, accounts receivables, and other financial records. Provide various types of support to the Finance team. RESPONSIBILITIES: • Enter new clients in Epicor, create account and process credit applications, including maintenance of existing customers in ERP. • Calculate, prepare, and issue documents related to customer accounts such as creating and sending invoices, creating inventory reports, and other financial statements. • Prepare customer statements, collection of past due accounts, verifying totals, and preparing statements for clients. • Process cash receipts and track customer payments, update system with adjustments, process incoming credit card payments via Authorize.net • Process and report weekly cash flow projections to Controller and CFO. • Process monthly affiliate reconciliations and work with branches to balance accounts. • Manage and provide support to the Invoicing Coordinators. • Deposit and advanced billing and project management for Global Services for Almex. • Processing of all incoming and outgoing letters of Credit & Bank Guarantees for SAIL and affiliate offices to negotiate terms with customers, verifying financial stability. • Respond to customer inquiries, maintain good customer relations, and liaise with the Sales Department regarding special term orders. • Update, verify and maintain accounting journals and ledgers and other financial records and process journal entries relating to sales/accounts receivable. • Provide Global Services (installation and maintenance) support by assisting Project/Sales Managers with administrative duties; approving project timecards, invoicing, initiating, and executing all shipping arrangements of product and relevant paperwork for Global Projects. Transfer order processing for order fulfillment. • Verify validity of account discrepancies by obtaining and investigating information from sales, customer service departments, and customers. • Assist affiliate offices to conduct collection when needed. • Perform filing and general administrative tasks to support the Finance team. PAYROLL ADMINISTRATOR Shaw-Almex Industries Ltd - Parry Sound, ON Description PAYROLL ADMINISTRATOR Details: • Position Title: Payroll Administrator • Working Hours: Monday – Friday • Salary: TBD • Reports to: Financial Controller • Status: Full Time, Permanent • Location: Parry Sound, ON Purpose: The main purpose of this position is to verify and process payroll information, determine pay and benefit entitlements for employees, maintain accurate payroll records, and provide payroll information within Almex. RESPONSIBILITIES Payroll & Expenses • Maintain and update employee information, such as employee attendance, leave and overtime to calculate pay and benefit entitlements, using most efficient process and systems • Prepare and verify statements of earnings for employees, indicating gross and net salaries and deductions such as taxes, union dues, garnishments, and insurance • Prepare, verify, and process all employee payroll related payments, including regular pay, benefit payments, and special payments such as bonuses, vacation pay, banked time and personal days • Complete, verify and process forms and documentation for administration of benefits such as leaves, employment, and medical insurance • Prepare payroll related filings and supporting documentation, such as year-end tax statements T4s, ROEs, and other statements • Process journal entries relating to Concur, payroll and expenses • Ensure all payroll deductions balance with the General Ledger timely • Provide information, communicate payroll matters, and work with supervisors to interpret and support collective agreement provisions • Compile, review, and monitor statistical reports, statements, and summaries related to pay and benefits accounts • Input and organize expenses and payments and verify accounts numbers through Epicor as required • Identify and resolve payroll discrepancies GENERAL • Ensure record keeping for First Aid report, WSIB and training certification tracking • May be responsible for the development or implementation of payroll policies, procedures, or processes • Collaborate with the Human Resources department to maintain employee data This job description is not intended to be all-inclusive, and from time-to-time other related duties may be required of the role to meet the ongoing needs of the organization.
